Serv, the website at servapp.ai and the Serv app, is software that service businesses use to run their work: booking jobs, sending crews out, invoicing and getting paid. This page says what we hold, why we hold it, who else sees it, and how to have it deleted. No lawyer language where a normal word will do.
Two kinds of people use Serv
The business signs up and pays us. Their owner, office staff and technicians have accounts.
Their customers never sign up. A homeowner who books a job or tracks a technician is a customer of the business, not of Serv. The business decides what it keeps about them, and we hold it on their behalf.
What the app collects, and why
- Name, email and phone of people with an account. To sign them in and so the office knows who did what.
- A technician's photo. Shown to the customer so they know who is turning up at their door. The technician takes it themselves and only they can change it. An owner can remove one, but cannot set one for somebody else.
- Location, while a technician is clocked in only. This is how dispatch sees where the crew is and how the customer gets a live arrival time. It starts when they clock in and stops when they clock out. It also stops on its own 14 hours after clocking in, so a forgotten clock-out cannot track somebody overnight. Clocked out, the app collects no location at all.
- Photos and video of the work. Before and after shots and walkthrough videos, attached to the job so the business and its customer can see what was done.
- Job notes and messages between the office, the technician and the customer.
- Customer details the business enters: name, address, phone, email, service history and invoices.
- A notification token for the phone, so the app can alert a technician to a new job.
- What you type or say to Ask Serv or voice typing, only if you allowed them. See AI features below.
AI features
Ask Serv (the assistant in the dashboard) and voice typing (the microphone on Serv's keyboard) run on an AI service from xAI, the company that makes Grok. Nothing is sent to xAI until you tap Allow on the screen that explains this, and each person on the team is asked for themselves.
- Ask Serv sends your question, the conversation so far, and the business records needed to answer it (for example the jobs, customers or invoices you ask about).
- Voice typing sends the recording of what you said and a list of your business's names (customers, streets, services) so they are spelled right. The recording is not stored by Serv.
- We send it to xAI only to get the answer or the words back. Serv does not use it to train AI. How xAI handles what it receives through its service for businesses is set out in xAI's own terms.
- Changed your mind? Turn Ask Serv and voice typing off in Settings, under Account (or on the Profile tab in the crew app). Nothing more is sent from then on.
Some writing help (first drafts of marketing messages, review replies and job summaries) can use Anthropic (Claude) when that feature is switched on for Serv, and only for a business whose owner or an admin has allowed AI. It receives only the text needed to write that draft.
What we do not do
- We do not sell anything to anybody.
- We do not advertise, and we do not track anyone across other apps or websites.
- We do not share one business's data with another. Every business is separate.
Payments
Card and bank payments are handled by Stripe. Card numbers go straight to Stripe and never touch our servers. We keep the amount, the date and whether it went through.
Who else sees it
Only the companies that run parts of the service for us:
- Render, which hosts our servers and the website, servapp.ai;
- Supabase, which hosts the database and stores job photos, videos and face photos;
- Sentry, which receives error reports when the app or our servers go wrong, with emails, phone numbers, street addresses and sign-in links taken out first;
- Stripe, for payments;
- xAI, for Ask Serv and voice typing, once you allow them;
- Anthropic, for writing help, when it is switched on;
- Apple and Google, which deliver phone notifications;
- the services that send texts and emails on the business's behalf.
They may use it only to provide that service. We will hand over data if the law genuinely requires it.
How long we keep it
For as long as the business has an account, because that is their working record. When an account is deleted, this is what happens:
An owner deletes the business (Settings, under Account). Straight away we delete:
- Every customer, lead, job, quote, invoice, photo, video, note and message.
- Your price book, stock list, memberships and booking page.
- Every team login, with their face photos and location history.
- Every customer link: portals, quotes, tracking and job reports stop working.
What we keep: A bare record of each payment marked on an invoice (invoice number, amount, date and how it was paid), with no names, addresses or line items, kept for 6 years because tax law requires payment records. Serv's own record of what your business paid Serv is kept for the same reason.
A team member deletes their own login (Settings, under Account, or the Profile tab in the crew app). Straight away we delete:
- Your name, email, phone number and face photo.
- Your password and every place you are signed in.
- Your location history.
What stays: Jobs, time on the clock and photos you took are the business's work records, so they stay with the business, shown as Former teammate.
Copies in our database backups are gone within 30 days.
Asking us to delete something
If you have a Serv account, you can delete it yourself in the app, as above. If you are a customer of a business that uses Serv, tap Delete my data at the bottom of your portal: the business is told straight away. They hold your records, so they decide what they must keep (for example invoices, for tax) and should tell you.
Or email us at theo@queenconsultancy.com and we will do it or pass it on. We answer within a few working days.
Children
Serv is business software. It is not for anyone under 18 and we do not aim it at them.
Changes
If we change this, we change the date at the top. If it is a real change rather than tidying up the wording, we will tell account holders by email. The rest of our agreement with businesses is in the Terms of Service.
